How long does Cubbi keep rental applications after you receive them?
This information applies to properties in Queensland, South Australia, and New South Wales.
To protect renter privacy and comply with laws in these states, Cubbi has rules around how long applications are kept.
Applications approved in Cubbi
If you approve an application and the lease is finalised in Cubbi, the full application stays on file and remains available in your Cubbi dashboard.
Applications of successful renters are kept for 3 years after the tenancy ends. This is in case they’re needed for insurance, debt recovery, or tribunal or court hearings. This happen automatically, no action required by you.
Applications not approved in Cubbi
If an application is not approved in Cubbi, it is redacted after 90 days. This means:
- All sensitive personal information (e.g. documents, income, ID) is removed
- The application is no longer accessible
- There is no link between all rental applicants and the property
This includes applications from renters you didn’t proceed with — or renters you accepted outside of Cubbi (if you’re using Cubbi for advertising only).
You will need to export any applications you want to keep a record of before the 90-day mark.

What about the renter’s NextHome Profile?
Parts of the renter’s profile, like rental history and references, may still be available to the renter through their own Cubbi account. This is separate from their application to your property and is only visible and controlled by them.
There is no link between this profile and your property once the application is redacted.
Do I need to tell renters anything?
No. Cubbi informs renters when they apply about what happens to their personal information and when it will be removed if they’re not approved.
